About the opportunity
Provide secretarial support to the department including but not limited to:
• Maintain and manage the electronic diaries of the Program Leaders- Inclusive Education and Learning Enrichment
• Minute departmental meetings
• Arrange Personalised Support Plan meetings for Case Managers
• Manage incoming calls and outgoing correspondence for the whole department
• Maintain all department files and spreadsheet on Staff Workspace
• Aid staff, students, and parents to direct their enquiries within Learning Enrichment
• Assist with Open Days, House Orientations and Year 6 Transition visits
• Do the preparation and organisation of Stage 1 and Stage 3, Supported Enrolment Interviews, for incoming students
• Create and distribute Weekly Visual Planners to students and parents supported by Learning Enrichment
• Create Colour-Coded Timetables for NCCD students each Term
• Effectively oversee and manage exams for students with learning differences, including-room bookings, exam papers, digital exams loaded onto exam laptops etc.,
• Implement the nominated withdrawal or adjustments for students in Years 7 and 9 sitting NAPLAN
• Support collaborative partnerships between the school, parents/guardians, and other professionals
• Assist with collection and storage process of NCCD evidence
• Ensure applications, paperwork and reporting requirements are current and kept up to date for all: Students with Disabilities SWD, Students with Verification and EAL/D students
About you
The following criteria will be used by the selection panel when short-listing candidates. Candidates must address each of the following Selection Criterion in their written applications:
- Having provided a wide variety of administrative and operational support
- Coordinating tasks to meet deadlines and commitments, ensuring efficient and effective service delivery
- Advising on administrative tasks and processes, driving process improvements
- Understanding of compliance within a school and delivering on relevant legislation, policy and procedures
- Led and supported administrative staff, ensuring their smooth onboarding and providing effective training for optimal performance
- For this position you are not required to be Catholic
- At least 2–3 years' successful administration experience in a similar administration role, preferably within a school environment
- A current First Aid Certificate
- Demonstrated strong administration skills; having the ability to follow directions, and the ability to work unsupervised
- Demonstrated strong time management and organisation skills with the ability to work well under pressure and to meet deadlines; and be able to respond rapidly to change
- Demonstrated strong computer skills in all Microsoft applications
- Strong communication and interpersonal skills – both oral and written (ability to relate well on phone and in person with parents, students, and employees at all levels of the College)
- Commitment to meet quality standards; and the willingness to update their skills and knowledge on a regular basis
- Demonstrated commitment to the pastoral care of students
- Strong work ethic in ensuring confidentiality in all matters
- Ability to work in a team environment
- A personal commitment to the Mission and ethos of the College
