About the opportunity

In this position you will be responsible for:

  • Providing a wide range of administrative support to the school leadership team to effectively manage their availability, schedules, and appointments
  • Responding to enquiries ensuring accurate and relevant information is provided in a timely manner
  • Assisting in the development, maintenance and operations of administrative systems and databases, recommending improvements as necessary
  • Maintaining stock and issue expendable stores including recording stock levels and the distribution of equipment, delivery dockets, invoices and payment vouchers
  • Establishing and maintaining filing and records management systems, including registers and databases, ensuring easy and on-time retrieval of information
  • Provide administrative support to CLT members engaged in the curriculum and pastoral care of students
  • Update NCCD lists and evidence
  • Data entry and maintenance of AARA applications in the Senior school
  • Organise appointments and diaries; initiate and handle sensitive correspondence (which may include confidential correspondence); monitor telephone calls; and maintain working filing systems for CLT members
  • Provide administrative support as directed by AP, such as QCS exams, Qld Curriculum & Assessment Authority (QCAA), collate student data from administration systems for input to the Student Data Capture System (SDCS) and issue student LUI numbers, SRS, uploading student reports, NAPLAN testing – QCAA (ACARA) Booklists
  • Provide support to the Office Services Manager in the review of and improvement to administrative processes
  • Data entry and maintenance of subject changes and Student management information
  • Data entry and maintenance of student information in Student management
  • Creating and publishing documents and information for Senior School events (Graduation, information nights, Careers expo, SET plans, SSO etc.)
  • Updating the calendar and maintaining the SET Plan appointments
  • Updating the calendar and maintaining the Year level appointments
  • Organising parent and student meetings on behalf of the APs
  • Manage Assessment Calendars in readiness for publication to the School Community
  • External Assessments administration duties
  • Attendance emails
  • Distributing suspension letters on behalf of APs
  • Organise PGPs on behalf of APs with Academic and Pastoral Leaders
  • Data entry and maintenance of QCAA and ACARA duties
  • Organise information for data reviews in conjunction with SLO ML
  • Updating of policy documents across the Academic and Pastoral realms
  • Update staff handbook
  • Help organise Activity week
  • Update Data wall
  • NAPLAN Preparation

About you

To be successful in this position you will bring relevant contemporary skills and experience including:

  • Proficiency in Excel and an understanding of Microsoft Office 365 Suite
  • Providing general administrative support
  • Diary management and the scheduling of activities and appointments at a senior level
  • Maintaining a variety of administrative systems
  • Being responsible for enquiries from a variety of stakeholders and supplying timely information in an engaging way
  • For this position you are not required to be Catholic 
  • Active support of the mission and ethos of the College
  • Good communication and high-level interpersonal skills – being able to relate harmoniously to others in the work environment and deal courteously with staff
  • Ability to accept direction and supervision
