Summary

Clairvaux MacKillop College is currently seeking a highly organised School Administration Officer (Co-curricular: Sports) to provide efficient administrative and organisational support to the Program Leader: Sport. This role supports the coordination of sporting programs, events, and excursions, working closely with staff, students, and families in a dynamic school environment. 

 

  • Location:  Clairvaux MacKillop - Upper Mt Gravatt (S)
  • Start date: 16/02/2026 
  • Work hours: 22 hours per week (Flexible with start and finish time, days negotiable) | School holidays unpaid 
  • Salary: School Officer Level 3 - $34.17/hour - $35.62/hour + super (School Salary Scale)

About the opportunity

In this position you will be responsible for:

  • Providing a wide range of organisational and administrative support to the Program Leader: Sport
  • Responding to enquiries ensuring accurate and relevant information is provided in a timely manner
  • Act as key point of contact for parents and caregivers regarding student participation in the College sports progam
  • Act as a key point of contact for parents and caregivers regarding student participation in the College sports program
  • Prepare and manage documentation for sporting excursions, including consent forms, risk assessments, contingency forms, and variations to school routine
  • Assist in  the development, review, and implementation of risk assessments in collaboration with the Program Leader, considering individual student needs
  • Coordinate excursion preparations, including rolls, emergency contacts, medical and dietary information, staff booklets, and district sport documentation
  • Support SECA fixtures and carnivals through staffing allocations, student groupings, documentation distribution, and transport coordination
  • Collect, compile, and maintain records and databases to support reporting and informed decision-making
  • Contribute to continuous improvement of processes for managing sporting documentation and compliance requirements
  • Coordinate purchasing, equipment orders and first adi kit management as directed
  • Assist with event coordination, including venue setup and pack-down, catering, deliveries, and logistics for College sporting events and ceremonies
  • Complete purchase orders and liaise with finance staff
  • Coordinate transport bookings for co-curricular activities, including buses and taxis
  • Manage deliveries and maintain sports equipment and uniforms, including cleaning and storage
  • May be required to provide first aid support if required and assist with injury and risk management
  • Undertake other duties as directed by the Principal

About you

To be successful in this position you will bring relevant contemporary skills and attributes including:

  • Demonstrates effective written and verbal communication and strong interpersonal skills, with the ability to work harmoniously with colleagues and interact courteously with parents and suppliers. 
  • Proficient in office-based IT systems, including Microsoft Office 365 and e-Minerva 
  • Possess an ability to work confidently with young people 
  • Capable of providing a high level of general administrative support 
  • Demonstrates positive personal attributes that model exemplary behaviour for students, including honesty, reliability, commitment, and the ability to work well under direction and as part of a team 
  • Flexible and adaptable to a changing school environment 
  • Maintains current student protection and WHS knowledge in line with Brisbane Catholic Education requirements 
  • Applicants for this position are not required to be Catholic

  • Eligibility to work in Australia for the duration of the appointment
  • Hold a Paid Employee Positive Notice Blue Card prior to commencement.
