About our team 
The Formation and Engagement Services oversees BCE’s core strategic priority to deepen the understanding of and engagement with the Catholic Tradition, Scripture, and Theology among employees, students, and families through professional development, formation and experiential opportunities, alongside the development of contemporary resources that embed the Catholic Identity Framework within BCE schools and offices. This service area is comprised of three portfolios: Religious Education and Student Formation; Leadership and Staff Formation; and Engagement and Family Formation. This service area of BCE articulates a contemporary Catholic Christian worldview, to animate the centrality of Jesus and responsibility to enact Catholic Social Teachings. This includes creation and oversight of experiential learning opportunities, including pilgrimages; In- and On-Country Encounters; and Religious Education Conferences.

As an Administration Services Officer in the Formation and Engagement team, you’ll play a pivotal role in supporting professional learning and formation programs that make a real impact. This is more than just administration – it’s about creating seamless experiences for our staff and other stakeholders.

About the opportunity

In this position you will: 

  • Be the first point of contact for enquiries, managing multiple shared mailboxes and responding promptly.
  • Ensure accuracy and efficiency in managing large volumes of data within our Learning Management System (iLearn), including creating courses, processing enrolments, closing sessions, and finalising attendance records for reporting.
  • Book internal venues, arrange catering, and coordinate with venue support for events linked to courses you create in iLearn, ensuring all details are confirmed and delivered smoothly.
  • Accurately enter and maintain critical data to support managers in tracking and recording key compliance and professional requirements.
  • Support team meetings with precise minute-taking, action tracking, and correspondence.
  • Process invoices using finance platforms (Buyer Platform and D365).
  • Keep our internal SharePoint and external web pages up to date.
  • Identify opportunities to improve processes and enhance efficiency.
  • Provide high-level support to the Senior Executive Assistant and collaborate across the team.

About you

  • Has experience in complex administration roles and understands the importance of confidentiality and compliance.
  • Holds vocational training or certification in administration or related disciplines, with several years of relevant experience.

  • Eligibility to work in Australia for the duration of the appointment 
  • Positive Notice Blue Card for working with Children.
